Complaints Procedure

1. Our Commitment
HappyMeds aims to provide clear information, reliable customer support and a fair process for resolving complaints.
We take complaints seriously and use customer feedback to identify problems, improve website processes and strengthen the quality and safety of our service.
You will not be treated unfairly because you have made a complaint.
2. What This Procedure Covers
You may use this procedure to complain about:
- Website information or functionality.
- Account or checkout problems.
- Payment or refund handling.
- Order administration.
- Delivery or tracking.
- Missing, damaged or incorrect products.
- Customer-service communication.
- Privacy or data-protection concerns.
- Accessibility problems.
- The handling of a prescription or clinical-review request.
- Any other experience connected with HappyMeds.
3. Medical Emergencies
HappyMeds is not an emergency medical service.
Do not use the complaints process if you or another person needs urgent medical assistance.
For a life-threatening emergency, call 999.
For urgent medical advice in the United Kingdom, contact NHS 111 or an appropriate healthcare professional.
If you believe you have taken too much medicine, have difficulty breathing, have lost consciousness or are experiencing a severe reaction, obtain urgent medical help immediately.
4. Medicine Side Effects
A complaint is not a substitute for medical advice.
If you experience a suspected side effect:
- Read the patient information leaflet.
- Speak to a doctor, pharmacist or NHS 111 where appropriate.
- Seek emergency help for serious symptoms.
- Consider reporting the suspected reaction through the MHRA Yellow Card scheme.
You may also contact HappyMeds where your concern involves the product, packaging or service received.
5. How to Submit a Complaint
Send your complaint to:

Use the subject line:
Formal Complaint – [Order Number or Main Issue]
Where possible, include:
- Your full name.
- Order number.
- Email address used for the order.
- Delivery postcode.
- Date the issue occurred.
- A clear description of what happened.
- The outcome you are requesting.
- Copies of relevant messages.
- Photographs of damaged or incorrect items.
- Tracking or payment information where relevant.
Do not send complete payment-card details by email.
6. Complaints Made on Behalf of Another Person
We will normally communicate directly with the account holder or person affected by the complaint.
If you complain on behalf of another person, we may request:
- Their written permission.
- Evidence that you are legally authorised to act for them.
- Information needed to confirm identity.
This protects customer confidentiality and personal information.
7. Acknowledgement
We aim to acknowledge a formal complaint within three working days.
The acknowledgement may:
- Confirm that the complaint has been received.
- Provide a complaint reference.
- Identify any further information required.
- Explain the expected investigation process.
- Provide an estimated response date.
An acknowledgement does not mean that the complaint has been upheld.
8. Investigation
A complaint may be reviewed using information including:
- Order and account records.
- Payment records.
- Delivery tracking.
- Customer-service messages.
- Website logs.
- Product information.
- Photographs or supporting documents.
- Information provided by relevant service providers.
- Applicable policies and legal requirements.
We may contact you if additional information is needed.
The complaint will be handled as objectively and confidentially as reasonably possible.
9. Response Time
We aim to provide a full response within 20 working days after receiving sufficient information to investigate the complaint.
Some cases may require longer where:
- A courier investigation is required.
- Payment-provider information is pending.
- The complaint involves several organisations.
- Specialist or professional input is required.
- The matter is complex.
- Additional evidence has been requested.
Where a response is delayed, we will aim to explain the reason and provide an updated timeframe.
10. Possible Outcomes
After investigation, we may:
- Uphold the complaint fully.
- Uphold the complaint partly.
- Not uphold the complaint.
- Provide an explanation or clarification.
- Correct inaccurate information.
- Provide an apology.
- Arrange an eligible replacement.
- Process an eligible refund.
- Refer the matter to another appropriate organisation.
- Make changes to website or customer-service procedures.
- Take another reasonable corrective action.
Any refund or replacement remains subject to our Refund Policy, applicable safety requirements and consumer law.
11. Clinical Decisions
A complaint may be made about how a clinical-review process was handled.
However, making a complaint does not guarantee that:
- A medicine will be approved.
- A requested strength will be approved.
- A requested quantity will be supplied.
- A clinical decision will be changed.
Clinical decisions must remain based on professional judgement, patient safety and applicable requirements.
Where appropriate, you may be advised to seek an independent assessment from your GP or another healthcare professional.
12. Privacy Complaints
If your complaint concerns personal information, include the words:
Data Protection Complaint
We will review the matter under our Privacy Policy and applicable data-protection requirements.
You also have the right to raise a concern with the Information Commissioner’s Office.
13. Requesting an Internal Review
If you are dissatisfied with the initial response, reply within 20 working days and explain:
- Which part of the response you disagree with.
- Why you believe the outcome should be reconsidered.
- Any new information or evidence.
- The resolution you are seeking.
Where appropriate, the complaint will be reviewed by someone who was not responsible for the original decision.
14. External Organisations
Depending on the nature of the complaint, you may have the right to contact an appropriate external organisation.
This may include:
- The Information Commissioner’s Office for data-protection concerns.
- Citizens Advice for consumer-rights guidance.
- The MHRA Yellow Card scheme for suspected medicine side effects or product-safety issues.
- The relevant healthcare or professional regulator for concerns about a regulated professional.
- Your payment provider for a legitimate payment dispute.
Contacting HappyMeds first may allow us to investigate and resolve the matter more quickly, but it does not remove any legal right to contact an external organisation.
15. Unacceptable Behaviour
We understand that people may feel frustrated or distressed when making a complaint.
However, communication must not include:
- Threats of violence.
- Harassment.
- Discriminatory abuse.
- Repeated offensive language.
- Deliberately false information.
- Attempts to intimidate staff or service providers.
- Excessive repeated contact that prevents the complaint from being investigated.
We may limit communication channels where behaviour becomes abusive or threatening. This will not prevent a genuine complaint from being considered fairly.
16. Records and Confidentiality
Complaint information may be retained where necessary to:
- Investigate and respond.
- Improve our service.
- Meet legal or record-keeping requirements.
- Prevent fraud or misuse.
- Establish, exercise or defend legal claims.
Personal information will be handled in accordance with our Privacy Policy.
